Privacy Policy

Last updated: July 25, 2026

Sapphire Connected Communities ("Sapphire," "we," "our," or "us") builds software that helps property managers run connected, smart-enabled communities — think smart locks, thermostats, and the app residents and staff use every day. This page explains what information we collect through our web and mobile apps, why we collect it, and the choices you have.

The short version: we collect what we need to run your property's access, comfort, and communication features, we don't sell your personal information to anyone, and we only share data with the service providers required to make the features you use actually work.
We do not sell your data

1. Who this applies to

This policy covers residents, property staff, partners, and installers who use the Sapphire web app, iOS app, or Android app, and anyone whose property is managed through the Sapphire platform by a property management partner.

2. Information we collect

2.1 Account & profile information

2.2 Property & device information

2.3 App usage & device data

2.4 Information from property management systems

If your property uses a property management system (PMS) integration, we receive resident and unit information (name, contact info, lease/unit assignment, move-in/move-out dates) from that system so your access and account can be set up automatically.

3. How we use information

4. What we don't do

5. Who we share information with

We share information only with service providers who help us operate the platform, and only the data each one needs to do its job:

Category Purpose
Cloud hosting & infrastructure Running our servers, databases, and file storage
Smart device platforms Connecting to your property's locks, thermostats, sensors, and hubs
Push notification & email delivery Sending you app notifications and transactional email
Property management systems Syncing resident/unit data your property already manages there
Analytics & crash reporting Understanding app usage and fixing bugs

We may also disclose information if required by law, to protect the rights and safety of our users, or in connection with a merger, acquisition, or sale of assets — in which case we'll make reasonable efforts to require the new owner to honor this policy.

6. Data retention

We retain account and property data for as long as your account or property is active, plus a reasonable period afterward for legal, security, and support purposes. Access event logs are retained for a limited period for audit and troubleshooting purposes and are not kept indefinitely.

7. Your choices

8. Security

We use encryption in transit (TLS) and at rest for sensitive data, role-based access controls so staff only see what their role permits, and audit logging on access-control actions. No system is completely secure, but we work to keep your information protected and will notify affected users if we become aware of a breach affecting your personal information, as required by law.

9. Children's privacy

Sapphire is intended for use by property staff, residents, and partners who are 18 or older. We do not knowingly collect personal information from anyone under 18.

10. Changes to this policy

We may update this policy from time to time. If we make material changes, we'll update the "Last updated" date above and, where appropriate, notify you through the app.
